Our management system, Templa, allows for access to a client portal which will be made available for all clients to access whenever required for all relevant contract information for cleaning and FM services. Transparency and openness are a valued part of a successful client-contractor relationship and our client portal will permit access key data of the contract.

This will include, but not be limited to, such information as details of periodic work, site specifications and tasks, names and training records of operatives including qualification certificates, quality audit and monthly report schedules and results, accounts, risk assessments and method statements, company policies and service request tracking.

It is accessed through a password controlled client log-in screen and multiple log-ins can be allocated with permission stages if required, so you can pre-define what information you wish each user to access.

A key feature of this portal is the client ‘Site Binder’ which will include mandatory health and safety policies and other legal requirements. We will provide all contract information centrally and in real-time so clients will have constant access to the latest version of all relevant information.

The main aim of formal training is to provide managers and operatives with a framework that not only allows them to carry out their work in a safe and efficient manner, but it supports and encourages their career progression.

As part of all employees’ training plans, we take the following steps:

  • Ensure their training qualification certificates are in place and as a minimum they are compliant with the requirements of their role;
  • Assess their current skills and training levels for enhanced performance opportunities;
  • Create a training matrix for the objectives of each operative;
  • Invest the necessary resource to ensure the training is carried out in a timely manner.

Our commitment to formal training will include offering the following recognised and industry trusted qualifications and accreditations to employees, as relevant to the tasks they will be carrying out:

  • NVQ
  • IOSH
  • IRATA
  • IPAF

In addition Grade One will provide ongoing training and development opportunities to ‘hone’ personal skills and equip operatives with the expertise to work more efficiently in their roles.

TECHNOLOGY

Innovation

An innovative feature of Templa is that it can be integrated with electronic hand-held tablets.

The remote device and interactive functionality means our operational teams can perform key tasks on site without the need to complete paper forms and deliver them back to the office thus speeding up activity, response times and productivity.

We will be able to deliver all of the site/contract information including specifications, staff rotas and quality auditing, plus the ability to generate ad-hoc requests or equipment and materials requests required by the premises by way of electronic tablet.

Benefits to the management of our contracts include:

  • Open book accounting and transparency. This system allows all data entry and access to be controlled through a user-defined authorisation structure, whilst a full audit trail enables us to track and review all changes made to the data.
  • Variations and requests are all managed through effective date control, enabling changes to occur with specific services, tasks or operatives at different times.
  • Any contract data is keyed in as soon as we have it which eliminates the need to either hold onto it or pass it on for entry at a later date. This avoids ambiguity with the operations team always having access to the latest up to date data due to the information always being the current live version.

All the above means this electronic system ensures speed, accuracy, consistency and tight financial control of the contract.

The system also includes a Customer Service module which will allow us to provide the following:

  • Quality Audits – electronic audits completed on Operations Manager’s Mobile Devices and can be signed by the site representative.
  • Service Requests – Allows calls to be logged through our Help Desk, with details and alerts sent through automatically to the Mobile Devices for completion

This process includes:

  • Customer feedback – through monthly meetings with clients and a periodic customer survey;
  • Generation of Key Performance Indicators (KPI’s) to assist in monitoring the service provided;
  • A detailed staff training matrix – training all staff to a minimum of BICS level 1 status;
  • Monitoring all incidents (Quality, Environmental & Health & Safety) to enable improvements;
  • External auditing by a consultant in addition to our 3rd party regulatory auditing, thus ensuring total compliance.
